The company meticulously coordinated the arrival, accommodation, and transportation of 193 international teams, ensuring a seamless experience for all participants. The event's logistics were managed with precision, allowing for the smooth operation of a large-scale competition with thousands of attendees. Additionally, AFEA Congress designed and implemented 15 distinct VIP experiences across various venues, hosting 350 distinguished guests in exclusive networking and engagement opportunities.

A significant technological undertaking was required to support the event’s high standards. More than 16 kilometers of fiber optics were deployed to facilitate real-time data sharing and global streaming. With 26 cameras and six video streams in operation, the event was broadcasted live across multiple platforms, reaching a worldwide audience. To oversee these technical aspects, more than 50 technicians and two dedicated digital teams were on-site, ensuring a flawless multimedia experience.

Catering was another essential component of the event, given the diverse international participation. AFEA Congress oversaw the provision of over 19,000 meals per day, accommodating various dietary requirements while maintaining a strong commitment to sustainability. The catering team successfully minimized food waste to less than 5%, showcasing an environmentally conscious approach to event planning.

Efficient transportation services were also a key feature of the event’s organization. AFEA Congress ensured smooth transit to and from all venues, enabling teams to move effortlessly between competition areas, training spaces, and cultural events. Special exhibition and training zones were also set up, providing teams with dedicated areas to refine their robotic designs before the competition rounds.

Beyond the competition itself, AFEA Congress orchestrated key cultural and networking events to enhance the experience of participants. The Parade of Nations, hosted at the historic Panathenaic Stadium, was a grand celebration of global unity and cultural exchange. Another highlight was the social evening at the Stavros Niarchos Foundation Cultural Center, where attendees engaged in meaningful interactions, strengthening international ties in an informal setting.
